And we\u2019re writing a guide to delivering services digitally. But, in this time of Covid, when you\u2019ve less face-to-face time with your beneficiaries, how do you find out what they need from your organisation?<\/p>\n<p id=\"\">It turns out there\u2019s several ways of doing this by combining common user research methods and remote working tools. User research is what we call finding out the needs and behaviours of the people we are trying to help. Its methods will help you <a href=\"https:\/\/betterdigital.services\/principles\/start-with-user-needs-and-keep-them-involved\/\" target=\"_blank\" id=\"\" rel=\"noopener\">get clear what your users need<\/a> first, so you make better decisions about which solution and technology to use for your <a href=\"https:\/\/scvo.org.uk\/support\/coronavirus\/new-service-delivery-models\" target=\"_blank\" id=\"\" rel=\"noopener\">new online delivery<\/a>.<\/p>\n<p id=\"\"><em id=\"\">User research delivered a eureka moment for <\/em><a href=\"https:\/\/docs.google.com\/presentation\/d\/1a-lV-rEKY6XBtqFVnCw2ynBucnX7WJsEnox5az0o0ZQ\/present?slide=id.g6211771944_0_1008\" target=\"_blank\" id=\"\" rel=\"noopener\"><em id=\"\">Barnardo\u2019s 4U WhatsApp service<\/em><\/a><em id=\"\">. It helped them learn that parts of the service they intended to develop weren\u2019t needed by their users. This led to a better service experience, and saved them money.<\/em><\/p>\n<h2 id=\"\">Remote involvement is better in one big way<\/h2>\n<p id=\"\">Many traditional user participation methods involve getting people together in a room to talk about an issue or generate ideas (think about focus groups and consultation events). But these have a big drawback: they take people out of the context of their normal lives and put them in an abstract environment with people they don\u2019t know.<\/p>\n<p id=\"\">This environment makes it harder for people to talk openly about their experiences. This in turn makes it harder for you to learn what it\u2019s like to live in their world. Remote participation avoids this because it enables your users to engage with you from a place of normality and comfort. This makes it easier for you to learn about their here-and-now experience.<\/p>\n<p id=\"\">Below we\u2019ve listed six common techniques, in order of ease.<\/p>\n<p id=\"\">We\u2019ve listed six . But beware of making decisions based only on group discussions or surveys (1\u20133). We recommend always running user interviews (4 &amp; 5). And if you\u2019re creating a digital service you should find a way to usability test (6) as early as possible.<\/p>\n<p id=\"\">Use these methods with beneficiaries, carers, family members, even volunteers and colleagues.<\/p>\n<h2 id=\"\">1. Social media for general feedback on non-sensitive issues<\/h2>\n<p id=\"\">This is for when you:<\/p>\n<ul id=\"\">\n<li id=\"\">Want to get a general sense of attitudes towards a subject<\/li>\n<\/ul>\n<ul id=\"\">\n<li id=\"\">Don\u2019t need to ask anything personal<\/li>\n<\/ul>\n<ul id=\"\">\n<li id=\"\">Don\u2019t need to probe people\u2019s motivations<\/li>\n<\/ul>\n<h3 id=\"\">How to do it<\/h3>\n<p id=\"\">Use: Facebook groups or other forums.<\/p>\n<p id=\"\">Ask a <a href=\"https:\/\/www.inc.com\/jeff-haden\/5-ways-to-ask-the-perfect-question.html\" target=\"_blank\" id=\"\" rel=\"noopener\">carefully worded question<\/a> to your Facebook group. Encourage discussion. Ask questions. If the subject matter becomes difficult for people or you want to probe something sensitive, take individual conversations onto a private messaging channel.<\/p>\n<h3 id=\"\">Limitations<\/h3>\n<p id=\"\">Because what people say is visible to others you\u2019ll hear only some people\u2019s views and opinions, and often these will be the most confident ones.<\/p>\n<p id=\"\">You won\u2019t learn much about context. You\u2019ll need user interviews to dive deeper and get this.<\/p>\n<h2 id=\"\">2. Surveys to get a general sense of an issue or topic<\/h2>\n<p id=\"\">This is for when you need to get a broad sense of people\u2019s experiences, before doing more investigative work.<\/p>\n<h3 id=\"\">How to do it<\/h3>\n<p id=\"\"><a href=\"https:\/\/www.typeform.com\/forms\/\" target=\"_blank\" id=\"\" rel=\"noopener\">Typeform<\/a> is great, <a href=\"https:\/\/www.google.co.uk\/forms\/about\/\" target=\"_blank\" id=\"\" rel=\"noopener\">Google Forms<\/a> are really flexible, and <a href=\"https:\/\/www.surveymonkey.co.uk\/\" target=\"_blank\" id=\"\" rel=\"noopener\">Survey Monkey<\/a> is pretty good too!<\/p>\n<p id=\"\">Good surveys take time to set up. Be specific about what segment of your users you\u2019re targeting. Work out what you need to know. <a href=\"https:\/\/www.zendesk.com\/blog\/customer-feedback-forms\/\" target=\"_blank\" id=\"\" rel=\"noopener\">Zendesk\u2019s guide to feedback forms<\/a> gives good tips on writing your questions.<\/p>\n<p id=\"\">Add your survey link to email footers, WhatsApp messages, Facebook pages, and send it directly to people you\u2019d like to hear from.<\/p>\n<h3 id=\"\">Limitations<\/h3>\n<p id=\"\">Limited value. Not good for in-depth understanding of people\u2019s needs and experiences.<\/p>\n<p id=\"\">Risky because you only get one chance to ask each question. So you need to make sure you are asking the right questions in the right way. <a href=\"https:\/\/www.userinterviews.com\/blog\/erika-hall-on-why-surveys-almost-always-suck\" target=\"_blank\" id=\"\" rel=\"noopener\">Bad surveys deliver bad information<\/a>.<\/p>\n<h2 id=\"\">3. Polls for a quick yes\/no opinion<\/h2>\n<p id=\"\">This is for when you just need a quick temperature check on a subject.<\/p>\n<h3 id=\"\">How to do it<\/h3>\n<p id=\"\">Follow the above advice on asking questions.<\/p>\n<p id=\"\"><a href=\"https:\/\/doodle.com\/poll-maker\" target=\"_blank\" id=\"\" rel=\"noopener\">Doodle<\/a>, <a href=\"https:\/\/www.surveymonkey.com\/mp\/online-polls\/\" target=\"_blank\" id=\"\" rel=\"noopener\">Survey Monkey<\/a> and <a href=\"https:\/\/www.lexnetcg.com\/blog\/gsuite\/make-poll-google-forms\/\" target=\"_blank\" id=\"\" rel=\"noopener\">Google Forms<\/a> all work for polls. <a href=\"https:\/\/www.polleverywhere.com\/how-it-works\" target=\"_blank\" id=\"\" rel=\"noopener\">Poll Everywhere<\/a> can display your poll results live on your website (other polling software is available\u2026)<\/p>\n<h3 id=\"\">Limitations<\/h3>\n<p id=\"\">It won\u2019t tell you why or give you any context but for very simple issues it works.<\/p>\n<h2 id=\"\">4. User interviews to understand people\u2019s experience of a problem or situation<\/h2>\n<p id=\"\">This is for when you need an in-depth understanding of how people experience an issue. When you need to learn about their needs, habits, motivations and behaviours. So you can create a service that meets these needs.<\/p>\n<h3 id=\"\">How to do it<\/h3>\n<p id=\"\">Watch Action for Children and Youth Business International explain how to do user interviews.<\/p>\n<figure id=\"\" class=\"w-richtext-figure-type-video w-richtext-align-center\" style=\"padding-bottom:33.75%\" data-rt-type=\"video\" data-rt-align=\"center\" data-rt-max-height=\"33.75%\">\n<div id=\"\"><iframe src=\"https:\/\/cdn.embedly.com\/widgets\/media.html?src=https%3A%2F%2Fwww.youtube.com%2Fembed%2FP4dULN9cF9c%3Ffeature%3Doembed&#038;display_name=YouTube&#038;url=https%3A%2F%2Fwww.youtube.com%2Fwatch%3Fv%3DP4dULN9cF9c&#038;image=https%3A%2F%2Fi.ytimg.com%2Fvi%2FP4dULN9cF9c%2Fhqdefault.jpg&#038;key=a19fcc184b9711e1b4764040d3dc5c07&#038;type=text%2Fhtml&#038;schema=youtube\" allowfullscreen=\"\" frameborder=\"0\" scrolling=\"auto\"><\/iframe><\/div>\n<\/figure>\n<p id=\"\">Use this very useful <a href=\"https:\/\/docs.google.com\/presentation\/d\/1_wWo05pCizJM-sfDi3NTE3pYrQHMOIsro9HpawiRc5c\/edit#slide=id.g56b18365f9_0_4\" target=\"_blank\" id=\"\" rel=\"noopener\">user interviews worksheet.<\/a><\/p>\n<p id=\"\">Run interviews over a video call or use your phone or WhatsApp. Record it with permission. Store the call data securely.<\/p>\n<p id=\"\">Video calls work best for people with communication difficulties, because they can see you. You can also see their body language and expressions.<\/p>\n<p id=\"\">Analyse data using the tips at the end of this article.<\/p>\n<h3 id=\"\">Limitations<\/h3>\n<p id=\"\">Human memory is flawed, so people don\u2019t recall events fully or accurately. They sometimes leave out details they don\u2019t think are important enough to bring up. Some people are proud or private, others are shy and easy to embarrass.<\/p>\n<h2 id=\"\">5. Messaging interviews to understand people\u2019s experience (user interviews lite)<\/h2>\n<p id=\"\">This is for when you don\u2019t have time to run a full set of interviews but want more depth than a survey.<\/p>\n<p id=\"\">This method uses the audio record function on WhatsApp and other messenger services. Speaking questions and answers makes it friendly and easy to engage with.<\/p>\n<p id=\"\">It\u2019s good for some people with communication difficulties. Adapt it to platforms they are already comfortable with.<\/p>\n<h3 id=\"\">How to do it<\/h3>\n<p id=\"\">Identify six beneficiaries. Explain that they will be asked to record spoken responses to each question.<\/p>\n<p id=\"\">Draft a short script. Ask each to reply with an audio message. When you get the reply immediately send the next question.<\/p>\n<p id=\"\">You can run several interviews simultaneously, saving time.<\/p>\n<h3 id=\"\">Tips<\/h3>\n<p id=\"\">Test this with one person first. Then tweak your questions.<\/p>\n<p id=\"\">Batching people into one time slot works can be more efficient for the interviewer. But offer alternative times for anyone who can\u2019t take part.<\/p>\n<h3 id=\"\">Limitations<\/h3>\n<p id=\"\">You can\u2019t ask follow up questions in the moment. You can\u2019t nudge people to tell you more or ask the question in a different way if they\u2019ve not understood you.<\/p>\n<h2 id=\"\">6. Usability testing to test a website or digital service<\/h2>\n<p id=\"\">This is for when you\u2019re needing to test the usability and experience of a website or other digital interface. Or a paper prototype. Or any kind of prototype.<\/p>\n<p id=\"\"><a href=\"https:\/\/www.usertesting.com\/blog\/what-is-remote-usability-testing\" target=\"_blank\" id=\"\" rel=\"noopener\">Usability testing<\/a> isn\u2019t as easy as a survey, or running interviews but it\u2019s the only way to actually see what happens when people use anything online.<\/p>\n<p id=\"\"><em id=\"\">\u201cHe set up a usability test. He asked our users to find help through the website and we watched them as they tried. We listened to how they felt about it and noticed where they got stuck or experienced problems.\u201d \u2014 <\/em><a href=\"http:\/\/digitalfable.org.uk\/\" target=\"_blank\" id=\"\" rel=\"noopener\">The Charity Worker and the Digital Service Designer<\/a><\/p>\n<h3 id=\"\">How to do it<\/h3>\n<figure id=\"\" class=\"w-richtext-figure-type-video w-richtext-align-center\" style=\"padding-bottom:33.75%\" data-rt-type=\"video\" data-rt-align=\"center\" data-rt-max-height=\"33.75%\">\n<div id=\"\"><iframe src=\"https:\/\/cdn.embedly.com\/widgets\/media.html?src=https%3A%2F%2Fwww.youtube.com%2Fembed%2F9wQkLthhHKA%3Ffeature%3Doembed&#038;display_name=YouTube&#038;url=https%3A%2F%2Fwww.youtube.com%2Fwatch%3Fv%3D9wQkLthhHKA&#038;image=https%3A%2F%2Fi.ytimg.com%2Fvi%2F9wQkLthhHKA%2Fhqdefault.jpg&#038;key=a19fcc184b9711e1b4764040d3dc5c07&#038;type=text%2Fhtml&#038;schema=youtube\" allowfullscreen=\"\" frameborder=\"0\" scrolling=\"auto\"><\/iframe><\/div>\n<\/figure>\n<p id=\"\">Rather than write a lengthy guide <a href=\"https:\/\/www.nngroup.com\/articles\/usability-testing-101\/\" target=\"_blank\" id=\"\" rel=\"noopener\">here\u2019s a good one that already exists<\/a>. You only need to run five 30\u201360 minute tests.<\/p>\n<p id=\"\">You\u2019ll need a <a target=\"_blank\" href=\"https:\/\/medium.com\/wethecatalysts\/selecting-the-right-tool-for-online-video-calls-and-conferences-f0e11174dbb5?source=collection_home---4------1-----------------------\" id=\"\" rel=\"noopener\">video call tool like Zoom<\/a>.<\/p>\n<p id=\"\">Anyone can learn to do usability testing. Your digital agency partner may also be able to help (if you have one). Alternatively use a pay-for remote user testing service like <a href=\"https:\/\/usabilityhub.com\/\" target=\"_blank\" id=\"\" rel=\"noopener\">Usability Hub<\/a> (lots of good features) or <a href=\"https:\/\/www.usertesting.com\/\" target=\"_blank\" id=\"\" rel=\"noopener\">User Testing<\/a>.<\/p>\n<p id=\"\"><strong id=\"\">Just for fun:<\/strong> Watch <a href=\"https:\/\/youtu.be\/3Qg80qTfzgU\" target=\"_blank\" id=\"\" rel=\"noopener\">these people usability testing fruit<\/a>!<\/p>\n<h2 id=\"\">Safeguarding, consent and data storage<\/h2>\n<p id=\"\">Remember the need to protect privacy and support good safeguarding practice where users are sharing personal details. Youth Link Scotland have good resources on <a href=\"https:\/\/storage.googleapis.com\/scvo-cms\/media\/3548\/social-media-youth-worker-guide-branded.pdf\" target=\"_blank\" id=\"\" rel=\"noopener\">digital youth work<\/a> (skip to page 13\u201315 for safety tips).<\/p>\n<p id=\"\">Always ask for consent. Adapt your normal consent form into an online form using any of the survey tools. You can also ask a consent question at the start of an interview if you are recording it.<\/p>\n<p id=\"\">Store any audio or note files on your computer or online storage system in the same way as you would any other sensitive information. If you\u2019ve handwritten any notes, photograph or scan them then do the same.<\/p>\n<h2 id=\"\">Analysing data and processing with your team<\/h2>\n<p id=\"\">Collect what you learn in a document that\u2019s easy to share with your team. We use google docs and sheets a lot because they are easier to collaborate on than a word document.<\/p>\n<p id=\"\">Run a video call session with colleagues to explore and what you\u2019ve learnt. Group insights into themes. You could use Miro (an online whiteboard) to make online post-it boards. Cluster quotes together. You could colour-code in Google docs for this.<\/p>\n<p id=\"\">Then synthesise what you find. The <a href=\"https:\/\/playbook.wearecast.org.uk\/discover#!\/tab\/85361243-1\" target=\"_blank\" id=\"\" rel=\"noopener\">Knowledge Board<\/a> is especially useful.<\/p>\n<p id=\"\">Decide on your next step. What are your knowledge gaps? Do you need to do more research (you can use the tools from this blog over and over again)? Or maybe you\u2019re now ready to go and test something.<\/p>\n<h2 id=\"\">Wrap up<\/h2>\n<p id=\"\">Learning how to involve your beneficiaries in this way is important as it looks like our old ways of working are going to be affected for some time.
